Terms & Conditions

Delegates who register to attend APRRC 2010 in Sydney agree to the conditions listed below when you submit the registration form.

Registration fee
  • Includes 4 days/3 nights accommodation, 3x breakfast, 2x lunch, 2x dinner, plenary and breakout conference sessions, conference materials
  • Accommodation is NOT included with Day Pass and Rotarian registration packages
  • Registration fee does not include: Lunch on 22 or 25 November, airport transfer, optional harbour cruise and tours, accommodation before or after dates of APRRC 2010, and visa application fee

Payment of registration fee

Payments are to be made in full and in Australian dollars.  Delegates must ensure that any bank transfer fees are added to your payment.  Check with your bank and/or a foreign exchange website such as Oanda or Xe if you are unsure of the current exchange rate.  Delegates agree to pay the full amount of the registration fee within 5 working days of receiving confirmation from the Registration team that your registration form was received.  If you do not pay on time, you may have to pay in the next price phase.


Tourist visa

Each delegate is responsible for applying for his/her own visa.  Delegates are encouraged to begin the visa application process as early as possible to allow for processing time.  Processing time may vary depending on the visa type and passport country of the delegate.


Invitation letter and confirmation of payment

These letters can be provided for visa applications.  You must request these documents by sending an email to registration@aprrc2010.org after you have completed the registration form.


Spam filters

The APRRC organising committee is not responsible for confirmation emails being block by your email provider's spam filter.  Ensure that your email settings will allow for emails from @aprrc2010.org to be received.


Attendance

Registered delegates agree to attend all conference sessions when scheduled and participate actively.  Delegates understand that non-participation at APRRC may lead to ineligibility to use APRRC accommodation and attend APRRC evening events.  Delegates who are unwell or have a medical condition and wish to be excused can gain a pass out from the conference team.


Travel insurance

Delegates are encouraged to purchase travel insurance to cover your during your trip to Australia.


NSW Civil Liability Act

Delegates agree that their participation in the Asia Pacific Regional Rotaract Conference is a "recreational activity" for the purposes of the NSW Civil Liability Act and it is a term of their registration that they participate in the Conference at their own risk.


Inability to attend the Conference/Visa application denied

Payments must be made in full and are non-refundable, except in very limited circumstances.  In the event that the delegate is unable to attend the fully paid registration may be transferred to another delegate prior to the start of the Conference.

In the event that the delegate can't attend or the visa application is denied/refused, the delegate may transfer the fully-paid registration to another delegate prior to the start of the Conference.  If a suitable replacement delegate cannot be found, a partial refund is available according to the following schedule:
  • 91 days or more prior to the event: 70% of payment refunded (less bank transfer fees)
  • 61 to 90 days prior to the event: 50% of payment refunded (less bank transfer fees)
  • 30 to 60 days prior to the event: 30% of payment refunded (less bank transfer fees)
There will be no refund available for requests received less than 30 days prior to the start of APRRC.


Cancellation of Event

If the unavoidable cancellation of APRRC occurs, the committee will make every reasonable attempt to refund registration fees, less any administrative or other irrecoverable costs.  However, the committee will not be liable for an unrecoverable travel costs including, but not limited to, flights to Australia and accommodation before and/or after the Conference.
